BPS Activity Bus/Motor Coach Guidelines

Teams/Activities will be responsible for putting events into InfoFinder le the BPS field trip/activity trip software. These trips will then be approved by the building Athletic Director who will verify time team/activity is leaving. Once approved by the building AD, Transportation Supervisor Jen Clooten will arrange transportation. The Transportation Department is requiring that all trips be put into info finder a minimum of ten (10) school days in advance.

Due to the amount of equipment that is transported, 1 Motor coach and 1 white bus will be used for football trips and 1 motor coach will be used for hockey trips, regardless of the miles involved.

Motor coaches are not reserved for trips in State; a white BPS 46 passenger activity bus will be used. If there are two trips going on the same day with the same number of passengers, the white activity bus will be sent the farthest distance; the other trip have a yellow bus.

Buses are assigned according to the number of passengers going on the activity trip. If the district does not have an activity bus or yellow bus available, a yellow bus will be requested from Harlow's rather than a motor coach. In the past, some teams/activities have sent additional participants to force BPS into a motor coach upgrade. This will NO longer be allowed due to increased costs to the District, teams/activities will pay the cost difference.

If a team feels they need to use a motor coach over one of the white BPS activity buses, the difference in cost between the two will be covered by the team/activity wanting the upgrade. Teams/activities will need to raise the funds for the additional costs or talk to their respective booster clubs.

Overnight trips: A BPS 46 passenger white activity bus will be sent if available (the white activity buses have larger sized storage compartments). If not available, one of our 56 passenger yellow buses will make the trip, these buses are larger and have some storage. Again, if a motor coach is needed due to the number of participants taken on the trip, the difference in cost between the two buses will be covered by the team/activity wanting the upgrade. Teams/activities will need to raise the funds for the additional costs or talk to their respective booster clubs.

When a Harlow Coach Bus is requested for a trip other than the above guidelines, the difference will be billed to the team/activity involved.

All buses, both BPS and Harlow's, are subject to availability.

Transportation is for coaches, team members, and student managers only. Family members ARE NOT ALLOWED due to insurance issues.

Coaches, not drivers, are responsible for the actions of the student participants. If driver asks a student to stop doing something it will be the responsibility of the coaches to make certain the request is followed.

Example: On the average, a trip to Fargo would cost the district between $1,100 and $1,300 to charter a motor coach from Harlow's versus approximately $660 by using a district vehicle.
